Message from the ED

It’s been a quick and busy month at Tree Street with lots going on! Staff is currently wrapping up February Break and will be back at it for the March stretch on Monday!

Development/Fundraising

  • We have been working hard closing out 2021 ensuring proper thank yous and stewarding of all end of year gifts.
  • We have been inspired by all of the “one word” activities across the organization that has led us to the theme of this year’s annual appeal/development activities to be: “Unfurl: Open Up, Open Out!” Alli is working on some visuals to accompany this and will begin to incorporate it into our messaging.

Basement

  • Phase 1 is complete!!! Phase 2 will take place this coming week where they will put in the new concrete for the floor!
  • There was a few additional unforeseen circumstances that emerged that resulted in needing a bit more funds from CDBG so I had to do an additional application and gathering of quotes…bit more work, but worth the savings!

Maintenance Contract

  • I have drafted a contract to do maintenance work at Tree Street with Recovery Builders of Maine, this is an offshoot of Recovery Connections of Maine one of the leading substance use recovery groups in Maine. They are located in downtown on Middle Street and we have partnered in the past on a few things. Work will be done by individuals in recovery in their programs with skilled lead staff during weekends or nights/early mornings at the center. Hoping to have this in place to begin in March.

Programming

  • Staff have been working hard on some minor new programming iteration/pilots including:
    • Basketball teams will begin to play in March vs. the rec and boys and girls club teams! Tuesdays and Thursday from 5-6
    • MAPLE workshops are taking place each monday from 5-6. This months workshops include some leadership exercises, guest speakers from Recovery Connections of Maine talking about addiction and recovery, and a collaborative session with parents on opening bank accounts!
    • Lastly, but maybe most exciting we have been working collaboratively with Hebert construction to pilot a program we are calling PINE (Peer Inspired Navigation of Employment). PINE-Construction is a program working with approximately 10-12 teens who will begin working on some of the downtown Lewiston construction sites (mostly apartment buildings related to the CHOICE grant). Hebert is desperate for laborer/workers so we have put together a framework where some teens from Tree will work for them in “mini-shifts” accompanied by CEDAR interns/staff. They will get paid through Hebert directly. Kids are very excited about the opportunity! CEDAR interns: Dylon and Anthony are heading this initiative up.

Kid Dynamics

  • There has been a lot of dynamics across the community lately. Lost of fights, drama, suspensions/expulsions, school threats, substance usage (vaping) etc. Staff is taking things in stride, but are looking critically at our programming and approaches to the “drop in” aspect of after school to ensure kids have enough support and structure to stay focused. We are okay, but I personally have never seen some of the way these dynamics are playing out before.

Samara

  • I have been presented with an opportunity to do some consistent coaching with leadership at Trekkers. They are willing to pay a monthly rate for this support!
  • We are currently searching for a fellow to work collaborative with The Nature Conservancy and Tree Street to create opportunities to get more kids outside!

Mural

  • 10 year anniversary Mural got installed this February Break! Finishing touches are being put on it and I will have a picture for everyone at the meeting on Tuesday!

Message from the ED
  • Staff have been very busy jumping back into 2022. We have had a few staff transitions as Anna, Taha and Kevin (all part time mentors) moved on to go back to school. We have been busy hiring and have rehired Zach Knight (used to work as a Cedar Intern and PT staff in the past), we will have Aliyah (Jordan’s younger sister) joining us, as well as Tree Alumni Abshir aka Jama will both begin this week to finally bring the staff to full capacity. It has been an exhausting month covering for people out and keeping up with COVID etc but we are hanging in there and excited to have new teammates join!
  • CEDAR (Community Engagement for Developing Abilities and Readiness) is starting to rebuild after being shut down during COVID shutdown times. We currently have 3 new CEDAR interns all alumni of the center and all being paid through the career center work experience program. Current CEDARs Are:
    • Dylon-former sequoia from early years! 2016-17 working on the big kids side and sequoia
    • J’Quita-Next STEP graduate 2021 will be switch hitting on littles/bigs
    • Anthony-former Sequoia who will be a CEDAR intern as part of his re-entry after spending most of his teen years in Long Creek. He has graduated high school. And this is a new pilot to see how CEDAR might be able to support reentey experiences for others in Lewiston
  • Sequoia/Adriana (Diversion/family support) have been managing a number of very complex cases the past few months. Winter is hard on kids and families who are trapped inside a lot with their restrictions and families having housing instability. We currently have 4 current and 2 pending sequoia referrals. With the potential of 4 more after recent incidents at the high school.
  • Kid/community drama-there has been multiple fights lately across the community in schools and at Tree. It wears on the staff a lot bc it’s hard to keep up with all the drama and we tend to inherit situations that haven’t been fully resolved elsewhere. We have restorative processes in place for a number of those involved. Majority are teen boys, but we have headed off a few potential fights with girls in the community recently also.
  • Next STEP has added a handful of new students at the LMS trimester and LHS semester shifts. The middle school now serves 20 youth and high school serves 50. We also have brought on a few new teachers on including former Tree/BRANCHES staff members
  • Basement Update-Step 1 of Clearing out the basement is complete! It was an unbelievable effort by Obrien’s Property Services! Here is a summary of their work. The job took three 8-10 hour days with a 3-4 person crew. From the job we carried and hauled 29,180 pounds of junk. That’s 14.6 tons of junk! From the 29,180 pounds; 21,800 pounds of wood, metal and other material was sent for reuse, recycling and donation. We only sent 26% of the total haul to a landfill. Still in process of electrical work and TC Hafford is set to begin their work next week if all continues to go to plan!
  • Tree Street staff completed their “word of the year” exercise. Staff’s word this year is “unfurl” with the visual being a fern unfolding as it grows. The MAPLE leaders also did the exercise and struggled a bit narrowing but all agreed to land on “conscience bond to trust.” It had multiple meanings first of staying bonded to ones conscience, while also bonding until trust is created, while also staying connected to leaning into trust regardless of what is happening. Both were incredibly rich discussions. Next STEP staff landed on Adaptability as their word! 
  • Staff has begun to do some strategic visioning exercises that will parallel processes we will have in the board spaces and with the MAPLE leaders. The goal will be to weave these visions together to help inform our strategic plan work this first part of the year.
  • COVID remains a challenge. We had one staff test positive who is back at work now. Multiple exposures but everyone is remaining vigilant and healthy to the best of our abilities.

Meeting Information
Hi Board Members,

Our December board meeting will be next Tuesday, December 7th from 5:30 – 7:30 PM. The focus of this meeting will be Tree’s 2022 budget approval. In preparation, we have attached budget documents; the message from the ED also has a link to the proposed budget.  You will see attached the message from the ED, and a message from your co-board chairs with updates on all the great work the board members have engaged in since our last meeting. The Data and Fundraising dashboards will give you an idea of the youth Tree is serving and how the fundraising goals are being met.

The focus of this meeting will be Tree’s 2022 budget approval. In preparation, we have attached budget documents; the message from the ED also has a link to the proposed budget.  You will see attached the message from the ED, and a message from your co-board chairs with updates on all the great work the board members have engaged in since our last meeting. The Data and Fundraising dashboards will give you an idea of the youth Tree is serving and how the fundraising goals are being met.

You can view the budget two different ways, either by looking at the attached document, or following the link in Julia’s message.  Be sure to take a look at the Budget Overview Assumptions (attached), which Julia will also cover at the meeting.

Looking ahead
As we approach the holiday season and the new year, we appreciate your jumping into the committee work, and our Ten Year Challenge and year end  fundraising activities. Strategic planning will be our most immediate focus in the new year. The Executive Committee will be meeting to help plan this work.  Please let us know if you have any questions in the meantime.

Finally, keep an eye out for a message from Kim with the link to our new member portal in the Tree website.  This will be a place where you can find meeting materials, and the contact information for your fellow board members.

Message from the Board Chairs
Dear board members,
Our next meeting is Tuesday, December 7 at 5:30.  Since the focus will be our budget for 2022, we would like to provide a written update here on all the great work being done by board members since our last meeting! 
First, our Finance Committee met in November with some new members to get the budget ready for the December meeting. The Finance Committee usually meets on the third Wednesday of the month at 8:00 am, but will be meeting next on Dec. 20. If you are interested in joining these meetings, check in with Ryan or Chris. 
The Policy work group met on December 1, to begin work on all the tasks identified at the November board meeting to craft a policy on screening and working with volunteers. The next meeting is December 9 th at 5:00 p.m.  Faye is the contact for this work group if you have any questions or would like to join the meeting. 
The Lost Valley Fundraiser planning began in November with a robust group meeting to start work on the event for next year.  Anyone interested in joining this group should contact Julia. 
And finally, the Executive Director Evaluation process is beginning on December 13.  If you are interested in joining this group, and haven’t yet made the connection, contact Chris or Kim. 
Kim has also been working hard on getting the website page set up for use as a resource for the board. You will soon be getting a link to the board member website portal, where you will find meeting materials and contact information for fellow board members.

Message from the ED
Covid Updates:
  • Staff continue to persevere in the midst of Covid increases. We have had close contacts happen at the space for the first time that has resulted in students/staff need for quarantine. There has been 2 rounds of quarantine with approximately 15 people each time.
  • Many youth are vaccinated and there are more clinics beginning this week through the schools including a walkup/drive up clinic at Longley On Nov 18/19 which should help.
  • We have 4 staff (that we are aware of) who are still unvaccinated for various reasons. We continue to be supportive and provide information/opportunities for them to get it.
  • We are maintaining but it is challenging being down staff and with the energy the kids are carrying
  • Next STEP has the highest vaccination and pool testing rates in the district!! They are working hard to keep kids in school, but have had 4 active cases in the past few weeks.

Fundraising!

  • 10 day challenge was a great success!!! THANK YOU for all who contributed and shared! We will send out results/report once things are finalized!
  • We will be sending out the annual appeal mailing this week-thank you for those who volunteered to write some post it notes to go into the mailing!
  • Thanks to all who attended our orientation spaces. Happy to create more if people want to continue to lean into any of the subject areas
  • Fundraising Dashboard attached as of November 15, 2021
  • End of year appeal has been Sent!!!! HUGE shout out to Alli for making this happen!!!

Basement

  • CDBG (Community Development Block Grant-City of Lewiston) Grant has been submitted. Approval for our basement project goes in front of city council MONDAY December 6! When(fingers crossed) it is approved we will get things going!!!

Samara
Julia has led trainings/cultivation sessions recently for:

  • Maine Association of Non-Profits Leadership development program (designed for people who want to become board members of non-profits) (Paid gig!)
  • St. Mary’s Nutrition Center. (Paid gig!)
  • Educate Maine Symposium presentation-December 10

Cool Stuff!

  • Tree Street has been named the award recipient of the ARC (Advocate, Response, Change) award from the Center for Children’s Law and Policy a National Juvenile Justice Advocacy organization in Washington DC. Julia will be going to receive the award on December 6th at their ceremony!
  • Next STEP Student’s Shafi Ibrahim led the soccer team to the semi finals! High scorer for the league! Next STEP student KD just made the varsity basketball team who former board member Elgin Physic is now the head coach of at Lewiston High!
  • Spectrum donated 10 laptops and $2500
  • Holy Donut donated $2500 and built a new basketball hoop for us as part of their “Flour Power” month
  • 10 students from Edward Little Came over and did a service day and cleaned the whole storage room!!! It’s amazing!!
  • Jake Langlais (Superintendent of Schools) has consented for us to have much more transparent/open dialogue with the Lewiston High School Leadership team. They are now permitted to tell us when kids are suspended, struggling, call us on spot with issues, updates about any fights or things happening. This is a major game changer to be able to be so transparent with each other and already has prevented some kids from getting in trouble/suspended.

Message from the Board Chairs

Hello everyone!

We are looking forward to our next meeting on Tuesday, November 5th from 5:30 – 7:30PM via Zoom. For this meeting, the focus will be on power and equity, decision-making, and our policy development process. We plan to break out into small groups using a specific policy example to generate ideas and lively discussion. Julia has also put together an ED update, please find it attached.

Mark your calendars!
Following our meeting next week, we will have one more meeting in 2021 (hard to believe!) on Tuesday, December 7th from 5:30 – 7:30PM. The focus of this meeting will be Tree’s 2022 budget approval and the ED Evaluation. In preparation, we have attached September’s financial reports below.

Also, Julia will be leading a board orientation on Friday. November 5th from 9-10AM that will be a great introduction or refresher on the finance/budgeting process. A separate email will be sent with information on how to join this meeting.

In the new year, we will tackle strategic visioning, connecting with staff, and creative board engagement. Kim is also working on the website portal that we hope to launch ahead of our December meeting.

Message from the ED

Here are a few updates beyond the 10 fun things happening also shared in this email!

  • We are definitely back at it in the after school realm! It’s been extremely busy and staff is doing a great job leaning in and managing the busyness! 
  • Staff has been working in design spaces together to brainstorm ideas and build out new facets of programming 
  • Dunkins Pierre has officially joined us as Sequoias new leader! He has dove in headfirst and is doing great! He is launching his first crew of “sequoia leaders” and is engaging between 15-25 boys each day for programming! 
  • Basement update-cdbg app has been submitted! Waiting for response to begin locking in dates! 
  • Exploring options to help manage the sound in the gym more and make it a more useful space for us and community 
  • Julia is having some preliminary conversations with Hebert construction about some potential work force development opportunities for some youth. Potential of working together to have teens work for them on some local sites. 
  • Weekly cultivation sessions are going great for Staff and also happening biweekly with the Next STEP team. These 45-60 minute sessions work with staff on their own personal and social emotional development as well as give them tools to use with students. 
  • Julia will be running some professional development sessions about power and equity for MANP and St. Mary’s Nutrition Center this coming month 
  • Trigger warning!! Lastly, there have been a great deal of significant events in the community that have been close/impacted tree families. It feels very complicated right now. Extreme behaviors by both kids and adults, lots of overdoses in broader community being witnessed by kids, the big fire on Blake St (we are close with all 3 youth involved), a teen (senior in high school) suicide in the Somali community, lots of chaos at LongCreek and in the schools, election upon us…school committee drama, teacher and worker shortages everywhere, parent threatening self harm, children missing bus and being trapped outside all day while parents are at work…just on and on it feels some days. It’s a lot on everyone but we are trying to take it in stride, but the world feels chaotic and angry and its alot on the kids and staff and families for sure. In the midst there is great joy and glimmers of hope and progress, but please keep sowing seeds of positive, kindness, and love everywhere. People need it.

Message from the Board Chairs

Hi everyone,
Thank you for sharing your availability!

Based on the results, we will be holding a meeting this coming Tuesday, October 5th from 5:30-7:30 (virtually). If you listed this time did not work for you, don’t worry, we will be reaching out with another way for you to participate.

The agenda for this meeting is to continue the design process we started during the second part of the retreat. We will work in full and small group settings during the meeting to further flesh out how we will work together as the board of Tree Street.

Please reach out if you have any questions! We will be sending instructions on how to join the meeting by Monday.
